Terms of Service

1. Agreement to Terms

By installing, accessing, or using the FormFlow Shopify application ("FormFlow," "the App," "we," "us," or "our"), you ("Merchant," "you") agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not install or use the App.

FormFlow is a product of Lord Systems. These Terms form a binding agreement between you and Lord Systems.

2. Description of Service

FormFlow is a Shopify application that enables merchants to:

  • Build and publish forms on their Shopify storefront
  • Collect and manage customer form submissions
  • Route submissions to third-party integrations (CRM platforms, email providers, messaging tools, analytics services, ticketing systems, and spreadsheet tools)
  • Export submission data and manage form-related automations

The features available to you depend on your selected subscription plan.

3. Eligibility

To use FormFlow you must:

  • Have an active Shopify store in good standing
  • Be at least 18 years of age or the age of legal majority in your jurisdiction
  • Have the authority to enter into these Terms on behalf of your business, if applicable

4. Account & Access

Your FormFlow account is tied to your Shopify store. You are responsible for maintaining the security of your Shopify account credentials, all activity that occurs under your account, and ensuring that any team members with access to your FormFlow dashboard comply with these Terms.

You must notify us immediately at [email protected] if you suspect any unauthorized use of your account.

5. Subscription Plans & Billing

5.1 Plans

FormFlow offers multiple subscription tiers (Free, Starter, Growth, and Pro). Plan details, limits, and pricing are described on the Pricing page.

5.2 Billing

Subscription fees are billed through Shopify's billing system. By selecting a paid plan, you authorize Shopify to charge your payment method on the applicable billing cycle. All fees are non-refundable except as required by applicable law or as expressly stated in these Terms.

5.3 Overages

Some plans include a monthly submission limit. If you exceed your plan's limit, overage charges may apply as described in the FormFlow dashboard. You may set a monthly overage cap to control costs.

5.4 Plan Changes

You may upgrade or downgrade your plan at any time. Changes take effect immediately. Downgrades do not result in a refund of any prepaid fees for the current billing cycle.

5.5 Free Plan

The Free plan is provided at no charge and is subject to the limits described in the dashboard. We reserve the right to modify or discontinue the Free plan at any time with reasonable notice.

6. Acceptable Use

You agree to use FormFlow only for lawful purposes and in accordance with these Terms. You must not:

  • Use the App to collect data from minors without appropriate parental consent
  • Use the App to send spam, unsolicited communications, or deceptive content
  • Use the App to collect sensitive personal data (e.g., payment card numbers, government ID numbers, medical information) without appropriate safeguards and disclosures
  • Attempt to reverse engineer, decompile, or extract source code from the App
  • Use the App in any way that violates applicable laws or regulations, including data protection laws (GDPR, CCPA, etc.)
  • Interfere with or disrupt the integrity or performance of the App or its infrastructure
  • Resell, sublicense, or otherwise transfer access to the App to third parties

7. Your Data & Content

7.1 Ownership

You retain all ownership rights to the form submission data and content collected through your FormFlow forms ("Your Data"). We do not claim any ownership rights over Your Data.

7.2 License to Operate

By using FormFlow, you grant Lord Systems a limited, non-exclusive license to process and store Your Data solely to provide the service to you. This license ends when you delete the data or uninstall the App.

7.3 Your Responsibilities

You are solely responsible for:

  • The forms you build and the data you collect through them
  • Obtaining any required consents from your customers before collecting their data
  • Complying with all applicable privacy laws and regulations (including GDPR and CCPA) in relation to your use of FormFlow
  • Ensuring that the integrations you connect to FormFlow are authorized to receive the data you send them

7.4 Data Deletion

Upon uninstalling the App, your data will be deleted in accordance with our Privacy Policy.

8. Third-Party Integrations

FormFlow connects with third-party services at your direction. By connecting a third-party service you represent that you have the right to share your customers' data with that service, and you acknowledge that the third-party service's own terms and privacy policy govern their use of that data. Lord Systems is not responsible for the acts or omissions of third-party services.

9. Google and Microsoft API Services

9.1 Google API Services

FormFlow's use of Google APIs is subject to the Google API Services User Data Policy , including its Limited Use requirements. By connecting any Google account you acknowledge that your use of the Google integration is also governed by the Google Terms of Service .

FormFlow uses Google APIs for two purposes, each requiring your explicit authorization:

  • Google Workspace (Gmail): FormFlow accesses your Gmail account solely to send transactional emails on your behalf using the gmail.send scope. We do not read, store, or share your Gmail data.
  • Google Sheets: FormFlow accesses Google Sheets to list your spreadsheet files (drive.metadata.readonly), read spreadsheet structure, and append form submission data as rows (spreadsheets scope). We only access the specific spreadsheet you select. We do not read, store, or share any other spreadsheet or Drive content.

You can revoke access at any time as described in our Privacy Policy.

9.2 Microsoft API Services

FormFlow's use of Microsoft Graph APIs is subject to the Microsoft APIs Terms of Use . By connecting any Microsoft account you acknowledge that your use of the Microsoft integration is also governed by the Microsoft Services Agreement .

FormFlow uses Microsoft APIs for two purposes, each requiring your explicit authorization:

  • Microsoft 365 (Email): FormFlow accesses your Microsoft 365 account solely to send transactional emails on your behalf using the delegated Mail.Send permission. We do not read, store, or share your mailbox data.
  • Microsoft Excel / OneDrive: FormFlow accesses OneDrive using the delegated Files.ReadWrite permission to list Excel workbooks, read workbook structure, and append form submission data as rows. Although this permission grants broad OneDrive access, FormFlow only accesses the specific workbook you explicitly select. We do not read, modify, or store any other OneDrive files.

You can revoke access at any time as described in our Privacy Policy.

10. Intellectual Property

All rights, title, and interest in and to FormFlow — including its software, design, trademarks, and documentation — are owned by Lord Systems or its licensors. These Terms do not grant you any rights to our intellectual property except the limited right to use the App as described herein.

11. Disclaimers

The App is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

12. Limitation of Liability

To the maximum extent permitted by applicable law, Lord Systems shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of or inability to use FormFlow. Our total liability to you for any claims arising under these Terms shall not exceed the greater of (a) the amount you paid to us in the 12 months preceding the claim, or (b) $100 USD.

13. Indemnification

You agree to indemnify and hold harmless Lord Systems and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising out of your use of FormFlow in violation of these Terms, your violation of any applicable law or third-party right, or any content or data you submit, collect, or transmit through the App.

14. Term & Termination

These Terms remain in effect for as long as you use the App. You may terminate at any time by uninstalling FormFlow from your Shopify store. We reserve the right to suspend or terminate your access if we reasonably believe you have violated these Terms. Upon termination, your right to use the App ceases immediately.

15. Governing Law & Disputes

These Terms are governed by the laws of the State of Utah, United States, without regard to its conflict of law provisions. Any disputes arising under these Terms that cannot be resolved informally shall first be submitted to binding arbitration under the rules of the American Arbitration Association before resorting to litigation. If arbitration is not applicable or enforceable, disputes shall be resolved exclusively in the state or federal courts located in Utah, and you consent to personal jurisdiction in those courts.

16. Changes to These Terms

We may update these Terms from time to time. When material changes are made, we will notify you via email or a prominent notice within the App at least 14 days before the changes take effect. Your continued use of FormFlow after the effective date constitutes acceptance of the updated Terms.
